Enter every person who costs your business money. Not just the ones who produce — the ones who support production too. The secretary, the cleaner, the supervisor, the project manager. Permanent staff, daily hires, temporary workers, and off-books workers paid in cash.

For each person, you enter their rate (per hour, per day, or per month), whether they accept overtime, and their contract type. The calculator converts everything to a real cost per hour — including the overhead that gets distributed from non-productive staff.

Example

You have 12 employees. 8 are on site doing productive work. 2 are in the office (admin, accounting). 1 is a supervisor. 1 is a driver. The tool shows you that each productive employee doesn't cost what their payslip says — they cost that PLUS their share of the admin, supervisor, and driver costs. A worker earning £15/hour might actually cost you £23/hour when everything is included.

Plan a Job — Before You Commit

Before you sign a contract or quote a project, enter the job details: expected revenue, estimated total hours, and number of working days. The calculator generates three team scenarios automatically.

Scenario 1: Cheapest Team — uses your lowest-cost workers first. Maximizes profit margin but may take longer.

Scenario 2: Fastest Completion — uses all available workers simultaneously. Minimizes project duration but costs more.

Scenario 3: Balanced — the middle ground between cost and speed. Usually the most realistic option.

Each scenario shows you: total labor cost, projected profit, ROI percentage, completion time, and exactly which employees work how many hours.

Example

A client offers you a £10,000 contract for 100 hours of work over 10 days. You enter those numbers. The cheapest team costs £4,200 (58% margin). The fastest team costs £6,800 (32% margin) but finishes in 5 days. The balanced option costs £5,100 (49% margin) in 8 days. You pick before you commit — not after.

Track Active Jobs — In Real Time

Once a project starts, the full desktop version tracks it live. You see the actual hours each employee has worked, the actual cost accumulated so far, and the remaining budget. Not at the end of the month when it's too late — right now, while you can still adjust.

If a job is eating more hours than planned, you see it immediately. If one employee is significantly less productive than others, the numbers show it clearly. No opinions, no gut feelings — just what's happening.

Example

You're on day 6 of a 10-day project. The tool shows you've already used 75% of your labor budget but completed only 50% of the work. You know NOW — not on day 10 — that this project is heading for a loss unless you change something.
